CONTENT SUPPLY REQUIREMENTS   for the "Archives@Risk" website

To take part in the project you need to read carefully the Content Supply Requirements which are given in this page and to download the content of the "tool box".

PARTNER DETAILS : information about your Archive

The Partner details form in intended to provide the necessary details to identify your archive and to get in contact with you. It includes such data fields as :

  • name of country, parent organisation, name of archive, archive web site URL
  • name, address, phone, fax, e-mail of key contact
  • archive or organisation logo
  • commercial archive sales website/contact

In addition, you are invited to provide more extensive information about the situation of you archive and your preservation / digitisation projects. You can give a summary at the end of the form and provide a detailed information in a free format document.

SAMPLE OF AUDIOVISUAL MATERIAL

Selection criteria / Nature of content

The content that you select to supply should represent those items in your archive that are most valued and represent national cultural treasures, the loss of which would be tragic both on a national and international scale. The kind of material that would be appropriate is that which would reflect national traditions, folk music and dancing, events of national significance, politicians, personalities, buildings and towns that will reflect the historical development of your country. It should also be illustrative of your most endangered content.

For assistance, you will find in the "tool box" some examples of selected materials. Have a look at the data field "Reason for selection". You may also refer to the criteria used by the UNESCO Memory of the World Register.


Number & length of extracts / items

Maximum of 10 per archive. Approximately 1 to 5 minutes duration, depending on the nature of the extract


Cataloguing format

The cataloguing format is based on the EBU version of the Dublin Core standard.


Technical format

Preferably Beta, Beta SP, DigiBeta, IMX, Dvcam ; or DVD-R (video), MPEG 2 (2 to 10 mb/s). Pal 625 or NTSC 525.

Any professional broadcast format will be acceptable, provided that you check first with us that we can process it.

If you send original material, make sure that the return address details are clearly indicated. Copies will not be returned unless it is specified.


Identification of physical carriers supplied

Ensure that all material (i.e. carrier) supplied is labelled with the following information :

  • Name and country of the supplying archive
  • Type of format (e.g. Beta SP)
  • Standard (e.g. PAL 625)
  • Title of first recorded item on the carrier
  • Number of the carrier supplied (e.g. 1/1 or 1/3)

Ensure also that each carrier is accompanied by its own list of content or "playlist"

The playlist should include the same data requested for the label to identify the carrier, plus for each recorded item :

  • Title of item
  • Loation of item on the carrier, i.e. :
    • For a tape : time code in and out : hh:mm:ss:ff
    • For a video DVD : chapter number
    • For a data DVD : file name
  • Encoding format (e.g. MPEG 2), if relevant

LANGUAGE REQUIREMENTS

Language of audio content

  • Language of origin
  • Subtitled version, if in existence

Language of metadata

  • English is the common language of the "Archive@Risk" data base
  • As an additional option, the description of the item may be also supplied in the usual language of the archive.

INPUT OF METADATA

Downloadable forms (MS-Excel files) are available from the ""tool box" for Partners details and Cataloguing.

The files can be sent by Internet. They can also be copied to a CD-Rom and mailed together with the audiovisual content.

A user guide will help you, step by step, to fill in the different forms and to identify the video carriers and their content. The user guide, as well as some examples, can be downloaded. 

RIGHTS INFORMATION

All content on the "Archives at Risk" web site will be protected. It will be streamed and not downloadable therefore it cannot be copied. Any interest to use the footage will be referred to the archive or commercial sales contact or website.

You should use the standard permission letter provided in the "tool box". It gives permission only to browse the content on the web site. Sign the letter and send it back to us. No material will be published without us having the signed permission letter.
