On behalf of the International Federation of Television Archives (FIAT/IFTA), the International Association of Sound and Audiovisual Archives (IASA) and the National Library of Jamaica (NLJ), we are pleased to invite you to Kingston, Jamaica, to participate in the very first Caribbean Audio Visual Conference.

The aim of this conference is to highlight issues relating to audiovisual archive that are of interest to members and prospective members of FIAT and IASA in the Caribbean, and worldwide.

Overview

Target audience : Librarians, archivists, advertisers, public relations practitioners and students of library and information science. Other persons who are being targeted are cultural historians and researchers, employees in newspaper libraries, large commercial photographic outfits, TV stations, radio stations and researchers who use an audiovisual format as their storage medium and as well as others who need to be sensitized to audiovisual archival issues.

The conference will include a suite of information sharing strategies : workshops, plenary sessions and one-on-one discussions on a range of important issues and trends in audiovisual archiving. The sessions will be presented by a number of international and regional experts. The conference will be conducted in English.

The plenary sessions will be conducted under the following themes: Why Archives? Why care? The future.

Invitation for applications for bursaries

Applications are invited from archivists, librarians, government information officers, curators, cultural researchers and other persons who are involved in archiving audiovisual materials in the Caribbean to apply for a bursary to attend the first Caribbean audio-visual conference (CAVIC 2003), which has the theme: Audiovisual Archiving: Our Heritage and History. This will be held in Kingston, Jamaica at the Knutsford Court Hotel between November 4-9, 2003.

Rationale

Changes in technology and methods of documenting events, information and images have irrevocably changed the role, function scope and nature of archival materials and work. Keeping pace with these changes become even more pressing when one considers the rapid generational changes and obsolescence that take place in technological formats. AV archivists are hard pressed to identify the best storage medium in order to maintain the integrity of archival materials that are stored in older generation formats.

There are several core issues of importance to AV archiving in the region. These include: identifying the best media for AV archiving; exploiting regional AV information and archives in the best interest of the region; and ensuring that adequate disaster plans are put in place to protect the region's heritage against natural and man-made disasters.

In the Caribbean where much of our culture and heritage is oral and visual, the creation, development and maintenance of AV archives in the region assumes additional importance. In order to ensure the audiovisual heritage and history of the region will be accessible to present and future generations it is important more than ever that steps are taken to safeguard these aspects of Caribbean cultural tradition and expression.

This conference will address a number of critical issues relating to AV archiving in the region including: selection, de-selection, management, preservation, digitization and exploitation.

Already committed to sponsoring the conference are: the Caribbean Broadcasting Corporation (Barbados), The National Library of Jamaica, FIAT/IFTA (The International Federation of Television Archives) and UNESCO. Other organizations have expressed an interest to assist and these will be added to the sponsorship list once they have been confirmed.

Eligibility

Persons resident in UNESCO member countries in the Caribbean are eligible to apply for a bursary to attend the Audiovisual Archiving: Our Heritage and History Conference (CAVIC 2003).

Preference will be given to persons whose current responsibility involves some aspect of AV archiving and who have at least 2 years experience in some aspect of AV archiving.

For UNESCO and FIAT/IFTA bursaries, priority will be given to existing FIAT/IFTA members and to representatives of organisations that commit themselves to apply for FIAT/IFTA membership in 2004.

The language of the conference will be English. There will be no simultaneous translation services.

Persons presenting papers at this conference are NOT eligible to apply for one of these bursaries.

Method of application

Applications must be made by the individual wishing to attend the conference.

Please submit a typed application of no more than 500 words stating how your attendance at the conference will contribute to:

Your application must include (in US dollars) the total cost of a return ticket (including all local taxes) between your country and Jamaica.
